Terms & Conditions

Responsibilities of Harriet Ellis Training & Recruitment Group

Harriet Ellis Training & Recruitment Group promises to deliver the Training solutions to professional standards which are in accord with an agreed course syllabus.
As part of this professional standard Harriet Ellis Training & Recruitment Group will only use suitably Qualified Instructors to deliver the training solutions. All Training will be delivered in harmony with agreed course schedules. Harriet Ellis Training & Recruitment Group will use its own equipment where possible. Relevant course material will be provided for each student. The student will be expected to provide there own note books and writing tools. Harriet Ellis Training & Recruitment Group will endeavour to Train all students to a high standard and that all efforts will be made to help students that find learning in a course environment challenging through carrying out alternative teaching formats where possible. However Harriet Ellis Training & Recruitment Group will not be liable for students who fail to achieve the desired standards through a lack of application, attendance or learning difficulties.

Cancellations and refunds for short courses

Please be aware that due to the process of booking instructors and ensuring classes will run on schedule we are unable to give any refunds for any cancellations made after 7 days of booking the course, we have a 7 day cooling off period where a 50% refund of the deposit paid will be given. A failure to sign this agreement will not affect the 7 day cooling off period and the level of refund permitted.

Course Cancellations procedure for corporate clients  

Cancellations for any course that is part of this agreement must be made at least 48 hours in advance by telephone and e-mail. In the event that a course cannot be run at the agreed day and time then Harriet Ellis Training & Recruitment Group agree to notify the client 48 Hours in advance of such a cancellation and will provide an alternative course date.

Responsibilities of the client  

All students are expected to arrive on time for every training session and remain until each class is concluded. The client agrees to inform Harriet Ellis Training & Recruitment Group of any injuries or illnesses that may put the student or any other course attendee at risk to their health.

Employment.

Harriet Ellis Training & Recruitment Group do not guarantee employment to any student as a result of Purchasing and attending any of its training courses. However Harriet Ellis will where possible endeavour to assist students that attend courses to find suitable employment. This will depend on suitability of the student to a client’s requirement, and whether or not there are any vacancies. Harriet Ellis reserve the right to select candidates for interviews with its clients or refuse to forward information regarding employment opportunities to any student who has purchased one or more of its courses. This applies to all courses run by Harriet Ellis Training & Recruitment Group. Harriet Ellis will supply weekly updates of vacancies from our clients and notify classes of these. You will be free to contact these vacancies to organise interviews.

                             Duration of Centre support and Re-sit Policy

  • The total period of learning support from Harriet Ellis Training & Recruitment Group is 12 months. The 12 month period of support will begin from the first scheduled lesson of the term and not the 1st lesson attended by the student.
  • The NEBDN exam structure is split into 2 parts i.e. Theory and Practical. A student must pass the Theory part first in order to be automatically entered into the Practical Assessment, which normally takes place 4-6 weeks after your Theory exam.
  • If a student fails the Theory part, you will be entitled to a re-sit at the cost of £50 for the next intake which is either May or November dependent on your original exam date.
  • If a student passes the Theory but fails the Practical part of the exam, it counts as an overall fail and both sections would need to be retaken.
  • If a student fails the written part of the exam for the first time and has to wait until the next intake, we will extend your 12 month support period to cover you for the written re-sit exam.

If a student wishes to rebook the course because they have either:

a)       Failed the theory part of the exam twice, or
b)       Failed the theory and the practical, or
c)       Failed to meet the deadline for ROE application in order to complete the exam that they originally booked the course for or,
d)      Failed to hand in their ROE by the completion deadline or,
e)       Failed to hand in their examination application form by the deadline in order to sit the examination that they originally booked the course for.

a discounted price of £580 + vat would apply.

 
The Qualification Process

  • Full qualification of The Diploma in Dental Nursing is achieved by completing the process below; the student recognises that failure to complete any part of the process will result in not successfully becoming qualified as a dental nurse.
  • Attend a course with an approved centre (Harriet Ellis Training & Recruitment Group are fully approved)
  • Find a work placement ideally within 13 Weeks of your course in order to complete the entire record of experience document in time for our deadline.
  • Complete all required practical and written assignments from The Record of     Experience.   
  • Successfully pass both parts of The Diploma in Dental Nursing Examination for Dental Nurses.

Once purchased the Record of experience document is valid for 3 years maximum,  please be aware that it is not possible to give time spans to how long it will take each student to complete their individual record of experience documents. You can complete your Record of Experience even if you acquire part time work however this may delay your process.

Examination Fees

  • All students should be aware that the National Examination Board for Dental Nursing charge £320.00 to all applicants wishing to sit the Diploma exam. This examination fee will need to be submitted to Harriet Ellis Training & Recruitment Group once the course has started. You will be notified of the submission deadline.
  • Re-sit fee - £50 (Written) OSCE Re-sit fee - £250 (Practical)
  • Please note that as from May 2012 all successful candidates will receive a NEBDN qualification badge along with their certificate. Therefore students will not need to apply for and pay extra for this.
  • NEBDN will conduct a further analysis of costs prior to announcing fees for 2013 and beyond.
  • Exam applications will be forwarded to the examination board for acceptance on the following conditions-
    • Examination fees have been paid.
    • The student’s record of experience document has been completed.
    • The student has attempted to attend 80 percent of scheduled lessons.
    • You hold a valid current CPR or Basic Life Support certificate.
    • Your Mock Exam result shows progressive understanding of the Syllabus.
  • The requirements listed above are subject to deadlines set by Harriet Ellis Training & Recruitment Group. Harriet Ellis Training & Recruitment Group reserve the right to set these deadlines. All students will also need to have a valid CPR or Basic life support certificate before being permitted to sit the Diploma examination. Harriet Ellis Training & Recruitment Group will offer the CPR or Basic Life Support Course within the first 4 weeks of the Diploma course starting.
  • Your Theory Examination will take place on a Saturday. You will be given a list of Examination Centre’s with your application form, for you to choose from. You will receive a exam notification letter about 4-6 weeks before your exam takes place.
  • The new exam will be split over two parts, held on two separate occasions. The first part consisting of a written paper, containing 75 Multiple Choice questions (MCQs) and 50 Extended Matching questions (EMQs). The total time allowed for this part will be 2 ½ hours. Candidates who are successful in the written section will automatically be entered to the practical OSCE assessments (Objective Structured Clinical Examinations). This will consist of 15 practical OSCE stations, each lasting five minutes, with two rest stations
  • The candidate will complete all paperwork related to the exam. Harriet Ellis customer service will then submit these applications before the appropriate deadline. You will be given forms by our customer service department to complete in due course. In your induction, Harriet Ellis Training & Recruitment Group will explain all deadlines related to the students to ensure a smooth course experience.

Payment of Course fees 

Harriet Ellis Training & Recruitment Group offer a discounted rate of 799 + vat for the Diploma in Dental Nursing to college leavers aged 17, 18 or 19 years old. To qualify for the rate you will need proof of age. There are no payment options for this discounted rate and the entire fee will be due as stated below in Option 1.

If you are above the age of 19 years old, you have two options to settle your course fees.  

 

Option 1 Full Payment

  • All course fees are to be paid in full before the first scheduled lesson of this      course. In the event that a student registers after the course begins, the student will complete their course fee before sitting their first lesson. Students that do not complete course fees by the first lesson will not be permitted to participate in any classes until the course fee has been paid in full. In the event that a student cannot complete their course fee by the first lesson the student will either-
  • Be given the option to spread the remaining payment over installment (with interest calculated at 22.5% of remaining fees). 
  • Be restricted from participation in classroom activity. The student will be moved to a later course subject to availability. No refunds will be given for cancellations on these grounds.

 

Option 2 Installment Plan

  • Harriet Ellis Training & Recruitment Group offer an installment plan for students wishing to spread their course fees over a 6 month period. You will need to deposit an initial 400 pounds to book your placement on the course. You will then make 5 more consecutive monthly installments of 272.50 until your fees are completed. Your 5 month plan will be activated from the start of the course that you are attending. Please note that interest is charged at 22.5% of the overall loan. Total payable 1762.53 including vat.

We will request your monthly payment to be taken from your account and automatically bill your debit/credit card on the date below.
If you select this method of installments then your payment schedule is as follows:

  • Deposit when enrolment of course £400
  • 17th March Installment         272.50 (1)
  • 17th April Installment            272.50 (2)
  • 17th May Installment             272.50 (3)
  • 17th June Installment 272.50 (4)
  • 17th July Installment              272.53 (5) Completion of fees           

On choosing the installment option you agree to the above schedule of payments. In the event of nonpayment of installments where the installment is more than 4 weeks overdue, Harriet Ellis will write to the student requesting a payment and detailing all overdue payments. A further week will be granted to pay off the reaming overdue installments. If no payment is received by the end of the extended week the student will automatically be suspended from the course until fees are paid up to date. Please note that this can seriously affect your chances of completing the qualification.
Whilst in suspension a further date for payment will be set no less than a further 4 weeks extension to give the student opportunity to settle outstanding fees. If payment is made within this 4 weeks and the student account is brought up to date the suspension is lifted and the student can continue with classes. If the 4 week extension expires and no payment has been made then the student will be permanently expelled without further notice from the training course. In this event no refunds or monies already paid will be refundable.

Refunds

  • The course fee is not either partly or fully refundable to you at any point that you decide to leave the training course. The only time that Harriet Ellis agrees to refund the course fee is if we decide not to run or cancel the course. There is a 7 day cooling off period when purchasing the course wherein there will be a refund less an administration charge of 50% of the deposit made.
  • Registration is counted from the day a deposit is paid and therefore the refund period also starts from that date.

Refunds and Pregnancy

  • Where a candidate falls pregnant within 1 calendar month of the first lesson and this has been declared after the 7 day cooling off period Harriet Ellis Training & Recruitment Group will refund 50% of any monies that have been paid up to the date of declaration of pregnancy to Harriet Ellis Training & Recruitment Group. Where a candidate falls pregnant within 3 months after attending the first scheduled lesson no refund will be given but the candidate will be given the choice of either completing the current course or be moved to a course at a later date. The candidate’s decision to move must be given within 7 days of the declaration. 
  • Cases of pregnancy are to be supported proof in the form of a letter from the candidates GP before any move or refund is given.
  • You are confirming when signing these terms and conditions that you are agreeing to pay £1438.80 including VAT for the cost of the course or £1,762.50 including vat if you have chosen the installment option.
  • Starting September 2008 there will be a charge of £20.00 for a copy of the record of experience which is a mandatory requirement by the NEBDN.
  • You must be vaccinated against Hepatitis B and if possible provide evidence of Hepatitis B vaccination blood test results, to show that you’re anti body levels are high enough. You must also ensure that you are up to date with your tetanus booster and all childhood vaccinations before you start working in any dental practice.

Student Identification

  • All students are required to produce a copy of their passport with photo ID or Drivers license with photo ID before their first lesson.

Student Placements

  • All students are requested to find suitable employment as trainee dental nurses either on a part time or full time basis. This can include voluntary work so long as the student uses a Harriet Ellis Training & Recruitment Group volunteer work form for any voluntary dental nurse work undertaken. A copy of all of these forms must be handed in with the completed Record of Experience document as supporting evidence.
  • Harriet Ellis Training & Recruitment Group is not responsible for finding or arranging student placements. We will supply students with a student username and login once they have enrolled onto the course, which gives them access to Trainee Dental Nurse Vacancies. These vacancies are updated on a weekly basis and can be found on the website. The student must make their own interview arrangements with Dental Practices that have supplied us with vacancies.Additionaly students are strongly advised that they are responsible for finding suitable employment as a trainee dental nurse and must put forth the necessary effort to find a placement inside the agreed deadline.
  • All students are expected to secure employment as Trainee dental nurses within 13 weeks of the term. This is to ensure that Record of Experience documents are completed by the record of experience submission deadline. If a student is unsuccessful in securing employment as a trainee dental nurse by the completion of the 13 week period the student will be deferred to a later examination to allow time for completion of the Record of Experience. This will be dependent on successful completion of the Record of Experience document and evidence of a valid basic life support certificate. 

Student Induction Pack

  • All students must read sign and hand in all relevant induction forms including this document before they may attend any lesson. Failure to do so may lead to exclusion from the class.  
  • Timekeeping and attendance is vital in order for you to pass your course, therefore you must attend the course at the training centre every session.
  • We recognise that sometimes people are away on holiday, late, sick or unable to attend. Absences must be notified in advance, and sickness must be reported to the office that day. Please try and arrange holidays around course breaks.
  • To enable us to monitor your progress and provide you with support and guidance to enable us to pass your exam successfully, all homework set by the course tutor must be completed and handed to the tutor when requested.
  • Harriet Ellis reserves the right NOT to enter you into the exam if you: Have not attended at least 80% of the course sessions and have consistently failed to hand in coursework.

Moving Classes

  • A student may be allowed to move to a different class but which was started within 1 month of the original class they were assigned to on the following conditions-

Newly found employment specifically in a dental practice will prevent them from    attending their class
In the event of bereavement of an immediate family member or extreme financial   difficulty when this falls within the first month of commencement of the course.

  • There is available room in another class that started within 1 month of the original class. (Please note 1 move only is permitted per student.)

Communication between Harriet Ellis and Students.

  • Instructors and administration staff will make every effort to inform students as to any changes that may occur during the course, however as a centre Harriet Ellis cannot be held responsible information that a student has not become aware of due to absence, incomplete forms being filled in, change of postal address, change of e-mail address, change of telephone numbers where the student has failed to inform the centre of such changes in their circumstances.

Change of Tutors

Harriet Ellis Training & Recruitment Group reserves the right to change or replace tutors at short notice which may be due to unforeseen circumstances such as sickness and/or emergencies. Harriet Ellis Training & Recruitment Group do not guarantee the same tutor for an entire term of any course. In cases of unforeseen teacher absence Harriet Ellis Training & Recruitment Group will supply a substitute tutor/tutors for the period of the absence where enough notice was given which is 72 Hours. In cases where insufficient notice of an absence was given consultants of Harriet Ellis Training & Recruitment Group will make every reasonable effort to inform students of a lesson Cancelation via telephone calls and e-mails but cannot be held responsible for unreceived messages due to incorrect or eligible contact details which have been given to Harriet Ellis or a failure of the student to access any messages left for them by Harriet Ellis Staff members.

Study Materials

  • The student is expected to supply their own pens, pencils, note pads etc that are needed for note taking as well as additional textbooks and research material. Harriet Ellis Training Solutions will provide 1 standard Dental Nurse Textbook per student which is included in the course fee. Any additional copies of the textbook will be subject to a charge of £29.00 per copy. Students are expected to bring this textbook and relevant equipment for note taking to every lesson.

Refugees and Overseas students

  • Harriet Ellis Training & Recruitment Group cannot be held responsible for the failure of students to gain permission to study in the UK by the UK border agency. All students are solely responsible for attaining the correct information and permission to study in the UK ensuring that they obtain the correct visa before paying any part of their course fee. Please be aware that students must allow a reasonable amount of time in which to complete the record of experience document therefore no refunds will be given to any student who cancels a course on these grounds.

Class Size

  • All students should be aware that in the unlikely event that a specific class is experiencing exceptionally low attendance levels on a regular basis, the class maybe combined with another class which maybe at a different time. Students will be informed in advance of any such change. Student’s views on the matter will be taken into consideration before a final decision is made.

Plagiarism

  • “Plagiarism is the process of taking another person’s work, ideas or words and using them as if they were your own.”   Any student found guilty of plagiarism will not be put forward for examination with the Examination Board or have their record of experience document submitted to the NEBDN.

Failure to Attend Classes

  • It is in the student’s interests to attend all scheduled classes on this course. Harriet Ellis Training & Recruitment Group cannot be held responsible for information students have missed which was either given verbally in the class or in written form due to lateness or other personal problems that students may experience and as a result will not supply extra lesson time or handouts to any student who requests extra help for these reasons. It is the responsibility of the student to do extra reading and research for information that has been missed.  
  • The following rules are to be followed whilst you are at Harriet Ellis Training & Recruitment Group
    • Keep the training room, kitchen and toilet facilities clean and tidy. Please pay special care and attention to the training room’s furniture and carpets.
    • Do not enter any other offices at any time
    • Only smoke in the designated areas outside of the building. No smoking inside the building or toilets as it is a fire hazard
    • Do not leave personal belongings unattended, as Harriet Ellis will not be responsible for theft, loss or damage to property.
    • Please switch off all mobile phones whilst in the classroom.
    • Please always be considerate to other students whilst you are studying in class.
  • In the event of a fire line up calmly by the door with the rest of the class. Proceed calmly to the fire exit and wait in the car park at the front of the building. Our onsite fire warden will instruct you.
  • Please do not swing on chairs or sit on tables as this could leave too serious accidents.
  • If you have any type of accident (however minor) please report it to the course tutor where he will record it in Harriet Ellis Training & Recruitment Group accident book

  • Good discipline is essential to the smooth running of the course. If you are found guilty of misconduct i.e.: consistent poor timekeeping, attendance, homework etc, the following steps may be taken: a) Verbal Warning b) 1st Written C) 2nd Written d) Final written warning.

 

  • Gross Misconduct will result in an instant dismissal of the course. Examples of gross misconduct are:
  • Smoking in the training centre or forbidden places
  • Drugs
  • Alcohol
  • Theft
  • Verbal abuse towards the tutor or staff at the training centre
  • Violation of Equal Opportunities policy
  • Physical abuse toward the tutor, students or any staff member
  • Destruction of property in training room or anywhere in the offices.
  • Any Fraudulent signing of documents for eg. ROE registration forms or ROE tracking documents.
  • In the event that you have any grievance relating to the training then please follow the steps below:
  • Speak to your tutor to discuss your views
  • If you are not satisfied then please put your complaint in writing to Hadley Silver, Manager. You will receive a response inside seven working days.
